UT Austin Named Mail Center of the Year

The University of Texas at Austin Document Solutions has undergone more changes during 2012 than in the previous 20 years combined. So says Director Richard Beto, who oversees a staff of 55 employees in this Central Texas print and mail operation.

Among the changes he cites are assuming delivery responsibility from USPS without additional staff or vehicles; planning for and meeting the USPS Intelligent Mail barcode requirements; establishing a physical address for more than 650 departments; and implementing a communications plan that outlined changes impacting more than 21,000 customers. For these efforts and more, UT Document Solutions was honored with the In-Plant Printing and Mailing Association’s Mail Center of the Year award at last month’s IPMA conference.

“Our mail group is special, and to have them recognized and validated by an independent group makes us all proud,” remarks Beto. “I am absolutely delighted to have a light shining on these wonderful people.”

This award is presented each year by the In-Plant Printing and Mailing Association to a corporate mail center for outstanding improvements to processes and procedures related to mail and mail handling.

With a staff of 11, UT Mail Services is responsible for pick up and delivery of mail to hundreds of departments in approximately 100 buildings. Each year it delivers more than 1 million pieces of internal campus mail and 1.3 million pieces of first class/presort mail. It also addresses and delivers more than 6 million pieces of bulk mail to the Austin Post Office annually.

The full-service mail operation also offers services like list maintenance, fulfillment, warehousing, presort mail preparation, UPS and international shipping, variable data processing, address data processing, inkjet addressing, tabbing, folding, sealing, barcoding, courier services and more. UT Mail Services also provides documentation and e-mail blasts, and hosts training sessions and open houses throughout the year to educate customers and promote its services. Providing assistance to Texas state agencies as well as the university, Mail Services is equipped with two postage meters, two tabbers, two inserters and two addressing systems.
